Collect RSVPs for an event

With RSVP, visitors answer whether they are coming and leave their details before they add the event to their calendar. You see every answer in the dashboard and can download the list.

Use RSVP when you need to know who is coming. If you only want people to save the date, a regular Add to Calendar event is quicker for visitors, and you still see how many people added it.

There is no limit on how many people can RSVP, on any plan. Your plan sets how many registrations you can download: 10 per event on Free, 100 on Startup and 10,000 on Business.

Visitors cannot see who else registered. CalendarLink has no check-in or ticket scanning at the door; download the registrations if you need a list.

Turn on RSVP

  1. Create or edit an event.

  2. Under the description, select RSVP.

  3. Set the options below.

  4. Save the event.

RSVP options

  • Form: The questions visitors answer. Start with Default RSVP Form, select Edit to change it, or Create new. See Create and edit RSVP forms.

  • RSVP intro text: The question above the answer buttons. Default: "Are you going to this event?" It is shown exactly as you type it, so translate it yourself if your visitors speak another language.

  • Max. number of attendees: Closes registration once this many people said yes. Leave empty for unlimited.

  • Allow RSVP until: The date registration closes. Registration closes at the start of that day, so pick the day after your last allowed day.

  • Admin notifications: Disable notifications, Daily summary per email or Notification for each RSVP.

  • Email notification recipients: Who receives the admin notifications. Separate several addresses with commas.

Once set, a deadline cannot be removed, only moved to another date.

What visitors see

  1. On the event page, they select the respond button.

  2. They pick an answer, such as yes, maybe or no, and fill in the form. Required fields have a red asterisk.

  3. A notice under the form tells them their details are shared with you as the organizer.

  4. After sending, they see a thank-you message and the button to add the event to their calendar.

The confirmation email

Each person who registers gets an email from CalendarLink with the subject "Confirmation for" and the event name. It contains:

  • their answer, with an update link to change it;

  • the title, location and organizer of the event;

  • a View event button;

  • the event as a calendar file (event.ics).

The update link and the button open the event page with their registration filled in.

You cannot change the text, logo or language of the confirmation email.

When registration closes

When the maximum is reached or the deadline has passed, the event page shows "Registration for this event is no longer possible" with the reason. Visitors can then no longer register or add the event to their calendar from the page. The status in the event's RSVP details panel changes to Max. number of attendees reached or Deadline expired.

To reopen registration, raise the maximum or move the deadline.
