Create an event

An event gets its own page and short link, for example https://calendarlink.com/event/c42b9. Visitors open that link to add the event to their calendar or to RSVP. You fill in one form and see a live preview of the page next to it.

Fill in the event details

  1. Select Add event at the top right of any page.

  2. Check the collection at the top of the form. New events go into your most recently created collection; select its name to pick another.

  3. Enter a title in Add event title....

  4. Pick the date, then the start and end time.

  5. Choose Location and search for an address, or choose Online and paste a meeting link.

  6. Write a description. You can use bold, italic, underline, links, lists and emoji.

Optional settings

  • All day: Removes the start and end time.

  • Recurring: Repeats the event. See Create a recurring event.

  • Reminder: The reminder visitors get in their calendar. Choose from 5 minutes to 1 week before, or none. Default: 30 minutes.

  • Timezone: The timezone of the event, and AM/PM or 24-hour time. Default: your organization's timezone.

  • Design: The look of the event page, at the bottom of the form. See Customize your event pages.

The iCal file includes the reminder, so it fires in the visitor's calendar app. Whether they see a notification depends on the settings of their calendar app and device.

CalendarLink does not send reminder emails. The reminder is an alert in the visitor's own calendar.

Online calendars such as Google and Office 365 keep the formatting of your description. Offline calendars such as Outlook on the desktop, Apple Calendar and iCal files show it as plain text.

Add to Calendar or RSVP

Under the description, choose what visitors can do:

  • Add to Calendar: visitors pick their calendar and save the event.

  • RSVP: visitors answer yes, maybe or no and leave their details first. See Collect RSVPs for an event.

Save

  • Save & publish makes the event page live and opens the sharing options.

  • Save as concept saves the event without a public page. Publish it later with Edit & publish event.
